A well-established CEO that operates up-wards of 10 companies is looking for an Executive Administrative Assistant/Personal Assistant to provide exceptional support to his dynamic and fast-paced life.  This person must be a self-starter, have exceptional organizational and time management skills, follow instructions clearly and accurately and within a timely fashion, be proactive and enthusiastic about all duties, and delivering positive results.  On any given day, this person could be wearing many different hate; executive secretary, personal assistant, travel coordinator, dog walker and/or VIP host.  This will be a primary point of contact an liaison to both business and personal contacts.  This is a full time, year-round permanent virtual position with an office location, support a person that, except for a healthy sleep schedule, is always working.  This role will typically be a 40-50 hours a week job but can be expected to be on call at all reasonable hours 5 to 7 days a week.  Compensation is commensurate with experience and ability to fulfill a high percentage of the requirements of the position.



In addition to being an all-around asset to the team, the Executive Assistant is responsible for the following tasks:

  • Managing a complicated and busy schedule
  • Performing planning, logistics and operations work
  • Provide comprehensive administrative support
  • Coordinate individual and group travel
  • Handle confidential and sensitive information with appropriate judgement and discretion
  • Various errands as needed
  • Providing administrative support in a variety of capacities including; data entry, assisting with the completion of assigned projects, event/meeting planning, filing, mail handling and processing of letters/correspondence
  • Be able to assist with contract administration i.e. low-level paralegal tasks
  • Should be ready and willing to travel occasionally within Iowa or North America
  • Organize meetings, summits from start to finish
  • Personal shopping
  • Pet care and coordination
  • Personal tasks and errands, phone call screening, correspondence and document preparation, bill payment, record keeping
  • Create and maintain personal action items, to-do list, and follow up and follow through pro-actively maintaining and providing status updates
  • While the expected schedule is Monday-Friday during slightly extended CST business hours, this person should be able and willing to put time in on the evenings regularly and weekends when called upon
  • Equipment and Technology will be provided
  • Be comfortable with Chief of Staff level duties and/or Project Management
  • Be comfortable with procurement and/or logistics level duties

  • Must be authorized to work in their country of residence (The United States or Canada)

This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset.
